* 14 Steps to Oakes Commencement! *
Step 1: Apply to Graduate/Matriculate from UCSC
To officially graduate from UCSC, you must apply through your student portal. You should take this step during the quarter in which your academic record will be complete. This will include passing your senior comprehensive requirement for the major, completing at least 180 credits, all GE’s, major and minor requirements, clearing incompletes, and providing the Registrar with transcripts of transfer work.
The deadline for Winter 2008 is February 1st.
The deadline for Spring 2008 is April 25th.
The deadline for Summer 2008 is July 31st.
* Completing this step does not sign you up for Oakes’ Commencement Ceremony. You may register for Commencement in advance of applying to graduate AND you may walk in the Oakes Ceremony even if you are not graduating by Spring 08 if you have approval from an Oakes Academic Preceptor.
Step 2: Complete all Academic Requirements
Check in with your department advisor to make sure you have fulfilled your major requirements. Check in with an Oakes Academic Preceptor to confirm you have satisfied all other requirements to graduate.
Step 3: Register Online for Oakes Commencement by May 19th!
To participate in the Oakes Commencement Ceremony and/or have your name listed in the print program you must register online, no later than Monday May 19th. Make sure to spell your name AS YOU WANT IT TO APPEAR IN THE COMMENCEMENT PROGRAM! Oakes students who plan to complete coursework by the end of Fall 2008 are eligible to participate in the June 2008 ceremony.
Step 4: Check Your “Public Information” Status
All students have a "Public Information" status (a.k.a. Directory Restriction, FERPA or NRI) with the Office of the Registrar. The status of your personal information is currently set as either "Releasable" or "Restricted." Some students set their status to "RESTRICTED" without being aware or the implications. It is imperative that you check your status and confirm it is set as you wish, in light of the following:
* If your status is set to "RESTRICTED" as of 10pm, Tuesday, May 27, Oakes is required by law to NOT print your name in the print program, regardless of your wishes.
* If your status is set to "RELEASABLE" as of 10pm on Tuesday, May 27, we can and will print your name in the program (provided you have registered via Step 1).
Check your status now at my.ucsc.edu. If you have a special circumstance and wish to retain the NRI status but also wish to have your name printed in the program, please contact Alesha Magee ASAP at 459-4505 or akazumi@ucsc.edu to review the necessary steps.
Step 5: Join the Grad Committee & help plan Commencement.

Step 6: Nomination for College Service Award or Speech Submission - May 2nd
College Service Awards
Oakes College chooses a few graduating seniors each year, nominated by their peers, staff and faculty, that have shown outstanding dedication and service to Oakes and the community at large. When thinking of possible nominees, consider folks who have devoted significant time and energy to the community by: serving on college or campus committees, participating actively in the life of a residential unit, student or community org, promoting and organizing cultural and educational activities, etc. State why you feel the nominee should be recognized (cite all forms of participation). Self-nominations are welcome. (Turn in nomination & explanation to the Student Life Office)
Speech Submission
In addition to a keynote address, two students will be chosen by the Commencement Committee to speak at the ceremony. If you’re interested, submit your 2-3 minute speech (include phone #, college box #, & email address) to the Oakes College Programs Office no later than 4pm, Friday, May 2nd. You will be asked to read your speech for the Commencement Committee during the following week.
Step 7: Order Announcements & Caps/Gowns, April 14th - June 6th
Order Announcements, Caps & Gowns and other items at the Bay Tree Bookstore Graduation Center between Monday, April 14 and Friday, June 6. You may order many items at the Bookstore website http://slugstore.ucsc.edu. You are strongly advised to order your Announcements at least five weeks ahead of graduation to receive them on time.
Step 8: Disability Accommodation Requests, by May 14th
If you or your guests need disability accommodations, please email valerieg@ucsc.edu, but no later than Wednesday, May 14th. Please include all information possible so we can accurately assess whether we can accommodate your request. Requests can include sign language interpretation, disabled parking access, wheelchair-accessible seating or shade seating for the sun-sensitive. Though we will make every effort, we cannot guarantee assistance if a request is made after the May 14th deadline.
Note: If you expect a guest may have difficulty walking approx. 50 yards on a grass field (somewhat uneven ground), please convey this information
Step 9: Communicate Regularly with your Guests
Keep your guests updated about important information such as:
* GUESTS DO NOT NEED TICKETS TO ATTEND! However, they do need a parking permit and each grad only receives 2 permits (and the grad may need to use one for themself!)
* how to prepare so as to ensure comfort during this evening's ceremony
* travel directions
* what to expect upon arriving on campus
* when to arrive
* the necessity of having your parking pass in order to park on campus (parking is extremely limited as several commencements occur on Saturday)
* the general flow and timeline of day’s activities (including reception)
* the details of any disability requests you have made on their behalf
Step 10: Pick up Two Commencement Parking Passes, May 20th - June 5th
In order to receive your 2 parking passes for Commencement, you must FIRST register for the Commencement Ceremony online (By May 19th). Bring photo ID.
Step 11: Pick Up Regalia, starting June 9th
Caps and gowns that have been ordered (see Step 7) will be distributed at the Bay Tree Bookstore, 2nd floor, beginning Monday, June 9th.
Step 12: Mandatory Commencement Rehearsal, June 12th, 5:00pm
A brief (60 minute) Commencement Rehearsal will be held, meeting at the Oakes Upper Lawn. We will do a “walk through” of the ceremony procedures and answer any last-minute questions. This is a crucial part of your graduation experience and ensures you know what to do on graduation day! DON’T MISS IT!
Step 13: Oakes Senior Banquet, June 12th
Thursday, June 12, 7:30pm (after rehearsal)- The University Center (above the 9 & 10 dining hall)
A final chance to hang with your folks, share and dine! College Service Award recipients will be honored, a senior slide show of Oakes memories will be shown and you can pick up your senior gift
Step 14: Oakes Commencement Ceremony, June 14th
(Ceremony begins at 5:00pm, students meet at 3:00pm, ceremony will last about 2 hours)
Students
- Arrive at the Oakes Learning Center by 3:00pm. You must arrive early to sign in (ALL STUDENTS MUST SIGN IN!) and to be in the 2008 class photo!
* If your guests will be using your 2 parking permits you should get dropped off, take a bus or carpool with other grads!
- GUESTS DO NOT NEED TICKETS TO ATTEND! However, they do need a parking permit and each grad only receives 2 permits (and you may need to use one for yourself if you don't carpool with other grads!)
- When you sign in you will pick up your Photo Card & Reader Card. These cards were created using the information you provided online when you registered.
* The photo card is given to the photographer, the reader card is given to the Academic Preceptor and read while you cross the stage.
- Don’t forget your Cap, Gown, Tassle, bobbie pins, sunscreen, etc.!
- Please remember that the processional wraps around the field and through the grass. Stiletto heels are not recommended.
- You will be given a water bottle and a program as you load the bleachers
- At the end of the ceremony, there will be a designated area on the Oakes Upper Lawn to return your regalia.
Guests
- Arrive at least an hour before-hand to get a good seat or if your student has made disability accommodations for someone in your party
- GUESTS DO NOT NEED TICKETS TO ATTEND! However, they do need a parking permit and each grad only receives 2 permits (and the grad may need to use one for themself!)
- Don’t forget the parking pass your student has given you (enter through West Side of campus). It must be displayed on your dash at all times.
- You will be directed to park in the West Remote Lot. Overflow will be directed to the Core West Parking structure and to various lots thereafter.
- Those with large hats and umbrellas will be asked to take a seat in the back of the field in order to prevent creating an obstructed view for others.
- The ceremony will last about 2 hours with an optional reception to follow. If you are making dinner arrangements please keep in mind and schedule in:
