The Oakes Advising Newsletter is designed to keep you informed of important deadlines and to alert you to programs and resources that may be of interest to you. We will try to keep these newsletters as brief as possible and aim to send them one week before important deadlines. We hope that you will find the newsletter a useful tool to keep your quarter running smoothly. NATIONAL GEOGRAPHIC YOUNG EXPLORERS GRANTS – SIGN-UP ONLINE NOW
National Geographic Young Explorers Grants support individuals between the ages of 18 and 25 in their pursuit of research, exploration, and conservation-based field projects.
Learn how you can become a National Geographic Young Explorer Grantee
through attending a program hosted by Oakes and College 8. On Saturday, April 5th, National Geographic explorers, staff, and grant committee members will be at UCSC for a day of presentations and discussion, as well as break out groups to develop and pitch your field project ideas. The workshop is free and includes breakfast and lunch. Space is limited, so be sure to sign up early at http://oakes.UCSC.edu.

WINTER GRADES AVAILABLE ON THE PORTAL: WED, MARCH 26
*WINTER ACADEMIC STANDING
You will be able to check your winter grades on the Portal beginning Wednesday, March 26. During the spring break, we will conduct our quarterly review of academic standing. If you fall out of good academic standing based on your winter quarter grades, a letter will be sent to your UCSC e-mail account. Students who are having difficulty with courses are encouraged to make an appointment with an Oakes adviser before the end of winter quarter. If you unexpectedly end up on Probation or Subject to Disqualification status when grades are posted, please come in the first week of spring to schedule an advising appointment.

DEADLINE TO REMOVE AN INCOMPLETE FROM FALL 2007: FRI, MARCH 21
If you received an Incomplete grade in a Fall 2007 course, you will need to complete the work for the course and file the validated "Petition for Removal of an Incomplete" before Friday, March 21. Complete procedures are in The Navigator (http://reg.ucsc.edu/navigator/chapter4.html#evaluating_ap - scroll down a bit), or you can scroll to the bottom of this newsletter for the Navigator text. If you do not complete the work by the deadline, your Incomplete will lapse to a No Pass or an "F" depending on which letter-grade option you selected. If you will be graduating this year, it is especially important to make sure you don't end up with an unexpected "F" on your record since it could prevent you from graduating.

DEADLINE TO PETITION FOR A LEAVE OF ABSENCE BEGINNING SPRING 2008: FRI, MARCH 21
The end of the quarter, March 21, is the last day to petition to take a leave of absence for spring. A leave of absence may be for one to six quarters. When petitioning for a leave of absence you will indicate the quarter you wish to return to UCSC and if approved, your return to the university will be set up automatically. Generally, you must be in good academic standing to qualify for a leave of absence. While on an approved leave, you have access to services at the Career Center, Off-Campus Housing, Family Student Housing, and some computer labs. If you miss the deadline to petition for a leave of absence or do not qualify, you will need to withdraw from the university and then file a Readmission Application when you wish to return. See an Oakes adviser to petition for a leave of absence. Make sure you drop spring classes on the Portal if you do not intend to return to UCSC next quarter, or you may be liable for spring registration fees even if you do not attend.

DEADLINE TO PAY FEES FOR SPRING: WED, MARCH 19
Registration Fees for Spring 2008 are due on Wednesday, March 19. Your billing statement can be viewed on the Student Portal under the "Financial Information" menu option (click on "Accounts & Billing" then "Billing Statement"). Billing statements were sent on February 29 to your mailing address, unless you have designated a specific billing address on the student portal. If you want to establish a billing address where your billing statements will always be sent, go to "Personal Info & Options" then "Address" on the Student Portal. It's a good idea to visit the Portal to make sure your mailing address and permanent address is updated also. If you don't pay your spring fees by March 19 at 4:00 pm, you will be assessed a $50 fee (regardless of whether you received your bill or not).

UCDC APPLICATION DEADLINE: WED, APRIL 16
Spend Fall 2008 or Winter 2009 quarter participating in an exciting program of internship and study in Washington, D.C. Undergraduate seniors, juniors and sophomores in all majors are invited to apply. Students take classes and intern at one of the many organizations or agencies in the Washington D.C. area while fully enrolled as UCSC students. Educational costs are comparable to UCSC and need-based scholarships are available to aid in the cost of airfare and additional living expenses. Students are housed in the UC Washington Center. In addition to their quarterly workshop series, the Career Center offers many services to help students clarify their career options and major choices. Visit the Career Center to meet with a career adviser, browse through their extensive career resource library, utilize their computer databases of internships, alumni network, and part time & summer job listings. * The Career Advice Network consists of members who are UCSC alumni, faculty, staff, parents and friends nationwide who help share career insights and personal experience in their perspective fields. It is a way to connect current students and alumni to knowledgeable professionals for the purpose of conducting research into potential careers. You can search for alumni by their current field of work, or by their UCSC major and read the career advice they have written for you. Check it out at http://www.careercenter.ucsc.edu/can/
* An internship will help you gain work experience, make contacts for later job searches, build your resume, research and test your interests, put classroom knowledge to work in the real world, and expand your educational experience. Begin researching internships at the Career Center's Intern Connection site at http://careercenter.ucsc.edu/internships/. In addition, the Career Center resource library has numerous directories on internship opportunities throughout the U.S. and internationally.
* Career Assessments. The Career Center can administer the Strong Interest Inventory and the Meyers Briggs Type Indicator for a fee of $15.00 each. These tests can help you measure your likes and dislikes in a wide range of general activities and use this information to develop a personal interest profile. The results can then help direct you to some possible majors to explore. ARE YOU GRADUATING, COMMENCING, OR BOTH? A GRADUATION PRIMER
You've probably heard the words graduation and commencement referred to a lot lately. It's that time of year when a few definitions are in order:
* GRADUATION refers to the act of finishing all of your requirements for graduation (GE's, major requirements, credit requirements, etc.) and applying to graduate on the Portal;
* COMMENCEMENT refers to the graduation ceremony where you get to cross the stage, shake some hands and toss your mortarboard in the air.
* GRADUATION is handled by the Registrars Office; COMMENCEMENT is handled by the Oakes Programs Office.
* GRADUATION requires that you "Apply to Graduate" on the Student Portal by the published deadline for the quarter in which you will finish your requirements (April 25 for Spring 2008, July 31 for Summer 2008, Fall 2008 deadline TBA). Click on the "Apply to Graduate" link in the "Academic Progress" menu at https://my.ucsc.edu.
* Participating in COMMENCEMENT requires that you fill out the online 2008 Commencement Form found at http://oakes.ucsc.edu/graduation08 by May 19.
TWO COMMON MISTAKES TO AVOID
* Applying for graduation on the portal before you'll be finished with requirements: Students who will be finishing their graduation requirements at the end of Summer 2008 or Fall 2008 are eligible to register for the commencement ceremony but should NOT go into the Student Portal to apply for Spring 2008 graduation. Even if you are participating in the commencement ceremony, you should wait to apply for graduation on the portal during the quarter in which your academic record will be complete. (This will include passing your senior comprehensive requirement for the major, completing at least 180 credits, all GE’s, major and minor requirements, clearing incompletes, and providing the Registrar with transcripts of transfer work.)
* Filling out the form to participate in the commencement ceremony but never applying for graduation on the portal: If you don't officially apply to graduate, the Registrars Office won't be able to award your degree, regardless of the fact that you walked in the ceremony and got a nice gift from your Grandma.

WHO WILL BE AWARDED THIS YEAR'S TEACHING AWARDS?
Classes are almost over. Have you had an inspiring and exemplary instructor this quarter? Encourage excellence in teaching by nominating your outstanding instructor for a teaching award.
* The Center for Teaching Excellence awards annual Excellence in Teaching Awards to a select group of UCSC instructors. Only UCSC students may nominate instructors. For more info, see http://ic.ucsc.edu/CTE/nominate.html.
* The John Dizikes Teaching Award in Humanities awards $3000 to honor faculty teaching in the Humanities. In addition to the $3,000 award, each recipient will have the honor of selecting a Sophomore or Junior student who will receive a $3,000 scholarship in their name. * The Alumni Association honors one faculty member each year with the Distinguished Teaching Award. The award acknowledges excellence and to recognizes extraordinary dedication to teaching at UC Santa Cruz. Criteria include clarity, depth, completeness, enthusiasm, and creativity in communicating the subject matter of the courses taught; and an ability to provoke critical thinking. Removal of an Incomplete Grade Notation
If you have received a grade notation of I (Incomplete) for a course, you must follow the steps below to convert it to a final grade. If you do not complete this process before the deadline listed in the Academic Calendar for the quarter following the one in which you earned the I, it will become a permanent failing grade (F or NP, depending on the grading option you chose for the course).
* Obtain a Petition for Removal of Incomplete form at the Office of the Registrar and complete the top section.
* Take it to the Cashier's Office before 4 p.m. on the deadline given in the Academic and Administrative Calendar and pay the $10 fee. The Cashier's Office will validate the petition, keep one copy, and return the remaining pages of the petition to you with a receipt of payment.
* Take the validated petition with the completed course work to the instructor of the course by the same deadline. The instructor will complete the process.
The instructor will assign a final grade for the course based on the work that you submit. That final grade will be reported to the department that sponsored the course, which will forward the completed petition to the Office of the Registrar. Your final grade will be officially recorded by the Registrar and a copy of the completed petition will be sent to you at your college.
