The following deadlines are established by the Campus Provost/Executive Vice Chancellor to ensure timely completion of the academic personnel review process. Please refer to the campus academic policy manual (CAPM 400.220.2) for additional details concerning these deadlines.
Files are due no later than the final deadlines published below, and candidate's materials may be due earlier if a different deadline is established by the academic unit. Many departments report that confirming external reviewers over the summer allows the candidate's materials to be sent out immediately in the fall, which is helpful to meet the campus deadlines. APO recommends this process as a best practice.
Files received at the same time are prioritized by CAP (and the Academic Personnel Office) as follows: appointment and retention files; tenure and mid-career reviews; other actions with ad hoc committee review; and then all other actions. Because of this prioritization, CAP may need to delay review of some files it receives until a subsequent agenda. Decision letters will be sent to candidates with copies to appropriate academic administrative officers as soon as decisions are final.
A. MERIT INCREASES, REAPPOINTMENTS, MID-CAREER APPRAISALS, and PROMOTIONS
DEPARTMENT CHAIR DEADLINE
Department Chair has initial meeting with candidate, including review of Checklist To Assure Fairness
June 5, 2009 (if possible, start in May)
CANDIDATE DEADLINE
- Candidate's materials are due in the department
September 21, 2009 or by earlier deadline established by department
Faculty who do not submit a complete file by this deadline, or the earlier one established by the department, will be considered to have deferred the 2009-10 action, and a subsequent action will not be retroactive (except that reappointment cannot be deferred).
DEPARTMENT DEADLINES
- Merit files are due in the division
December 4, 2009 (forward when completed even if earlier)
- Mid-Career, Promotion, Step 6, and Above-Scale files are due in division
January 15, 2010 (forward when completed even if earlier)
DIVISION DEADLINES
- Merit files are due to CAP for dean's authority actions or in Academic Personnel for EVC/Chan authority actions
February 5, 2010 (forward when completed even if earlier)
- Promotion, Mid-Career Appraisal, Step 6, and Above-Scale files are due in Academic Personnel
March 5, 2010 (forward when completed even if earlier)
B. APPOINTMENT FILES
Close contact with the Academic Personnel Office will facilitate the expeditious handling of ladder rank appointments. Tenured appointments require one or two months; untenured appointments require two to four weeks after submission by the Dean. Deans may establish deadlines for submission of appointment files, taking into consideration the following deadlines that the campus is required to meet:
- Formal offers for intercampus transfer (i.e., from another UC campus)
